In addition, there is an extra Erasmus+ top-up of €250 per month available for students with a financial, functional, or medical disability.

When should you apply for the Erasmus+ grant?
You must apply for the Erasmus+ grant no later than two weeks before the start of your internship.
If you submit your application later, we will not process it.

Please read the information under “Before your internship begins” carefully to find out how to apply for the grant.

2025-2026 Information and amounts

Please note (!):

  • Due to adjusted budgets for 2025–2026, a provisional amount of 70% of the monthly Erasmus+ internship grant will be awarded. If there is remaining budget before the end of the mobility period, an additional percentage may be granted.
  • Students who are doing an internship in their home country are considered a lower priority under official EU regulations and will not receive a provisional grant, unless sufficient budget is available.

Erasmus+ Top-up

The European Union finds inclusion very important and has therefore made additional Erasmus+ funds available for students from underrepresented groups.
This supplementary financial support of €250 per month, on top of the regular Erasmus+ grant, is intended to enable students with financial, functional, or health-related challenges to also participate in a study or internship abroad. See the section ‘Before your internship starts’ to learn how to apply for the Erasmus+ top-up.

Travel contribution

You are entitled to receive a contribution to your travel costs. You find the amounts in this table.

Eco-friendly travel
If you travel in an environmentally friendly way, you receive a higher travel contribution. Means of green travelling are travelling by train, bus and car-pooling.

With the Interrail Pass for Erasmus+, you can travel abroad by train at a reduced cost. Visit the Interrail website for more information.

Contribution of €250 for a Language Course

Through Erasmus+, you can receive up to €250 if you take a language course during your internship. Check the section ‘Before your internship starts’ to learn how to apply for this.
We strongly recommend that you take the EU's online language course. It’s free of charge.

When do you receive the Erasmus+ grant?

You will receive your grant in two instalments. The first payment, (70%) of the total awarded amount, will be transferred before the start of your internship, once you have submitted all the required documents. The remaining 30% will be paid after the completion of your internship and submission of the final required documents.

Please note (!): Make sure to carefully read the information under ‘Before your internship starts' and ‘At the end of your internship’ to avoid missing any application or submission deadlines and missing out on the grant.

Disclaimer

  • If you have an internship remuneration of more than € 450 per month (accommodation paid by the internship organisation also falls under remuneration), you cannot apply for this grant.
  • To be eligible for this grant, you must follow an internship of 35 to 40 hours per week.
  • If the number of applications received for the Erasmus+ grant falls within the Erasmus+ budget, then all Erasmus+ grant applications will be provisionally approved
  • If the number of applications received for the Erasmus+ grant does not fall within the Erasmus+ budget for study/internship, the grant might be awarded for a certain percentage of the monthly Erasmus+ amount. If there is remaining budget before the end of the mobility period, an additional percentage may be granted.
  • One of the conditions is that students who originally come from a country other than the Netherlands may return to their home country, but other students must be given priority when receiving the provisional grant.
Before your internship starts

Please note (!): Before you start the steps below, you must have an HZ internship agreement drawn up and signed via OnStage (this is arranged by The Work Zone).

Application deadline Erasmus+ grant
You apply for the Erasmus+ grant at least two weeks before the start of your internship. If you submit your application later, it will not be processed.

STEP 1: Prepare the necessary documents that you need to upload with your scholarship application.

1.1 Fill in the Erasmus+ Learning Agreement for traineeships.
We advise you to do this at least two months before the start of your internship, as it can sometimes take a while for the document to be signed by all three parties. Read the guidelines to see how to fill in the agreement correctly.
As part of the agreement, you must write a monitoring and evaluation plan. Please refer to the examples we have provided.

Please note:
The agreement must be signed by: yourself, the receiving organisation and the sending organisation. For International Business, this is Johan Weggemans. For other programs, please consult with your program’s internship coordinator to determine whether this agreement should be signed by the internship coordinator or by the HZ-Erasmus coordinator (International Office).

1.2 Supporting documents Erasmus+ top-up
If you wish to apply for the Erasmus+ top-up grant, you must upload the following supporting documents to your grant application;

  • For students with financial barriers: Proof of an awarded supplementary grant from DUO.
  • For students with a disability or health related challenges: A medical certificate or another valid health declaration.
  • If it is not possible to meet the specified documentary requirements, a Request Form for the Erasmus+ Top-up may be accepted instead. In that case: (1) a statement must be provided explaining why the documentary requirements cannot be met, and (2) the HZ Erasmus Coordinator must co-sign this statement.


STEP 2: Submit your grant application via
Osiris following the manual "Grant application Internship abroad".
Fill out all the fields and upload the required documents to your grant application.

Awarding your grant
After you have submitted your grant application, we will process your application.
You can read about the awarding process in the document Information and Procedures Erasmus+ 2026–2027. You will receive an email stating whether you have been awarded the grant or not. If you receive the provisional award email, it will also include your personalized Erasmus+ Grant Agreement.

Step 3: What do you need to to in order to receive the 1st payment (70%)
Upload the following documents to Osiris under your Grant Application;

- Personalised Grant Agreement: signed by you!
- Declaration on Honour (if applicable)

If you indicated that you will be traveling to your destination in an environmentally friendly (green) way (for example, by public transport or carpooling) you must complete the Declaration on Honour.
If you are not traveling in an environmentally friendly way, the standard travel contribution will automatically be granted.

When will you receive the payment?

During the internship

If there is a change in the internship, you complete the During the Mobility document and send it by e-mail to grants@hz.nl.

At the end of the internship

What you need to do to receive your second payment (remaining 30%)

ATTENTION (!): If you do not complete the steps below on time (within four weeks after the end of your internship), we will not be able to pay out the remaining 30% of your grant (!). The end date stated by your internship supervisor on your Transcript of Work is decisive in this matter.

  1. Ask your company internship supervisor to complete and sign the Trainee Certificate and the Transcript of Work.
  2. Complete the Evaluation Form.
  3. Complete the Erasmus+ Participation Report (online survey). You will receive an email from Erasmus with the link. Make sure to download the result.
  4. Upload all four documents listed above to Osiris under your grant application.

Before your study starts

Application deadline Erasmus+ grant
You must submit your grant application latest 12 June 2026.

NOTE(!) This applies to everyone going abroad during the 2026/2027 school year, regardless of whether you are going in the first or second semester.

STEP 1: Apply for the grant

You apply for the Erasmus+ grant via Osiris by following the instructions in this guide.

Applying for the Erasmus+ top-up

Awarding your grant

You will receive an email stating whether you have been awarded the grant or not. If you receive the provisional award email, it will also include your personalized Erasmus+ Grant Agreement.

Students who are going abroad in the first semester will receive a response to their application within four weeks of the deadline. If you are going abroad in the second semester, you will receive a response in November or December.
When you receive the preliminary approval email, it will also include your personalized Erasmus+ Grant Agreement.


STEP 2: What do you need to to in order to receive the 1st payment (70%)

Upload the following documents to Osiris under your Grant Application;

- Personalised Grant Agreement: signed by you!

- Declaration on Honour (if applicable)
If you indicated that you will be traveling to your destination in an environmentally friendly (green) way (for example, by public transport or carpooling) you must complete the Declaration on Honour.

- Your Online Learning agreement (OLA)

Note(!): You can only create the OLA after your courses on the HZ Learning Agreement have been approved by the DEX (see step 5). In case your OLA is not yet signed by all three parties, please upload the unsigned version.

The Online Learning Agreement (OLA) is a mandatory part of the Erasmus+ grant. You will receive an email from grants@hz.nl with the instructions on how to complete your OLA correctly.

If you have followed the OLA Guidelines correctly, the OLA will be sent automatically to all parties involved. You will receive a notification as soon as all signatures have been added. The OLA must be signed by:
• Yourself
• The foreign partner institution
• HZ (the chair of the DEX, not the International Office).

When will you receive the payment?

During your study

Getting new courses approved after your arrival abroad

It may happen that after arriving at the partner institution, you need to choose different courses that have not yet been approved by the DEX. In that case, follow the steps below (similar to steps 1 to 3 you have already completed):
1.
Select your new courses
Gather the title, description, and number of credits for each course.
2. Consult with your SLC
Send the information about the new courses to your SLC and schedule a meeting to discuss your choices.
3. Submit a new request to the DEX
Fill in the ‘Changes During Mobility’ section of the Learning Agreement. Add the course descriptions and the number of credits, and send this along with your motivation to the DEX.
4. Update the Online Learning Agreement (OLA)
Only after (!) the DEX has approved your new courses, update your OLA under ‘Changes During Mobility’. Watch the instructional video on how to make changes to your OLA; How to make changes to your OLA

At the end of your study

What you need to do to receive the 2nd payment (remaining 30%)

Note (!): If you do not complete the steps below on time (within two weeks after your minor ends), we will not be able to pay the remaining 30% of your grant (!). The end date on your Statement of Host Institution is decisive in this.

  1. Statement of Host Institution
    Request the partner institution (usually the International Office) to sign and stamp the Statement of Host Institution. Do this just before the end of your semester.
  2. Complete the Erasmus+ Participation Report (online survey). You will receive an email from Erasmus with the link. Make sure to download the result.
  3. Upload the forms/documents above in Osiris under your Grant Application.

If you do not complete these steps on time, according to EU rules, we are not allowed to pay the remaining 30% of your grant.
